{"id":684627,"date":"2022-11-24T14:22:42","date_gmt":"2022-11-24T13:22:42","guid":{"rendered":"https:\/\/www.devoteam.com\/expert-view\/how-to-make-a-timeline-view-with-google-sheets\/"},"modified":"2025-07-25T15:22:45","modified_gmt":"2025-07-25T13:22:45","slug":"how-to-make-a-timeline-view-with-google-sheets","status":"publish","type":"expert-view","link":"https:\/\/devoteam.info\/en-se\/expert-view\/how-to-make-a-timeline-view-with-google-sheets\/","title":{"rendered":"How to make a timeline view with Google Sheets?"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Since I started using Google Sheets (already more than 15 years ago) I saw some brilliant solutions to experience a time-based visualization of project data, campaigns, tasks etcetera.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most of them needed quite some effort: customized formulas to colour tiny day\/week\/month columns based on status fields and date fields; and in a collaborative context, those formulas would better be protected cells to prevent unwanted behaviour after an accidental change.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Recently Google created a built-in feature for this use case: <strong>welcome Timeline View<\/strong>!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This blog post explains why Timeline View is useful and how to create this overview step by step (<a href=\"https:\/\/youtu.be\/3jFYZJeM-QY\">you can also check this video for a step by step guide<\/a>).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-why-would-you-want-to-use-timeline-view\">Why would you want to use Timeline View?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Tons of spreadsheets are used to track projects, campaigns, and tasks\u2026 Any overview of time-based or time-related subject can make use of this new functionality:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Project management<\/li>\n\n\n\n<li>Marketing campaigns<\/li>\n\n\n\n<li>Onboarding programs<\/li>\n\n\n\n<li>Task management<\/li>\n\n\n\n<li>Cross-team collaborations<\/li>\n\n\n\n<li>\u2026<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">As soon as a <strong>start date<\/strong> and <strong>end date<\/strong> are part of your data: a timeline visualization is indispensable.<br>Timelines facilitate a better understanding of the sequence of items and the duration.&nbsp; They also add to a high-quality user experience: insights are immediately visually available without the need to actually read and analyze dates and related topics.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-create-a-timeline-view-in-google-sheets\">How to create a Timeline View in Google Sheets?<\/h2>\n\n\n\n<div class=\"wp-block-group has-secondary-background-color has-background has-global-padding is-layout-constrained wp-container-core-group-is-layout-03cab32d wp-block-group-is-layout-constrained\" style=\"padding-top:var(--wp--preset--spacing--medium);padding-right:var(--wp--preset--spacing--medium);padding-bottom:var(--wp--preset--spacing--medium);padding-left:var(--wp--preset--spacing--medium)\">\n<p class=\"wp-block-paragraph\"><strong>Free Google Sheets Template<\/strong><\/p>\n\n\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/docs.google.com\/spreadsheets\/d\/1gM9nNkQKjZuPrWKvqZfYW_oBWZCwj1IRT81EJDvdHFw\/copy\">Open template file in Google Sheets<\/a><\/div>\n<\/div>\n<\/div>\n\n\n\n<p class=\"wp-block-paragraph\">There are only two steps needed to create your first Timeline View<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-first-step-prepare-your-data\"><strong>First step: prepare your data<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An essential element is a <strong>date column<\/strong> (and to view a duration in your Timeline view, at least two date columns will be needed).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Important: make sure date columns are<strong> formatted as \u2018dates\u2019<\/strong><strong><br><\/strong>(select the date column(s) &gt; Format &gt; Number &gt; Date)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PRO TIP<\/strong> &#8211; You can easily add a date-picker by adding data validation to the date values; this allows users to pick a date instead of typing the date. [select the date column &gt; Data &gt; Data validation &gt; Criteria = Date &gt; Choose \u2018is a valid date\u2019]<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img0.png\" alt=\"\" class=\"wp-image-57303\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Add separate columns for other essential information like:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Task title: <\/strong>a comprehensive, short title of the topic<\/li>\n\n\n\n<li><strong>Task description: <\/strong>a more detailed description of the topic to have a better understanding<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>And probably other columns would be interesting as well like:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Owner: <\/strong>the stakeholder responsible for the topic<br><strong>PRO TIP<\/strong> &#8211; use the <strong>smart canvas feature to add contacts <\/strong>by typing \u2018@\u2019 followed by the name of the contact<\/li>\n\n\n\n<li><strong>Status: <\/strong>an indication of the topic<br>(like \u2018pending\u2019, \u2018on hold\u2019, \u2018in progress\u2019, \u2026 )<br><strong>PRO TIP<\/strong> &#8211; add conditional formatting that will be used to colour the values automatically in the Timeline View<br><br>[select the column &gt; Format &gt; Conditional Formatting &gt; create a rule like \u201cText is Exactly\u201d &gt; enter value \u201cNew\u201d &gt; choose a yellow background]<br><\/li>\n\n\n\n<li><strong>Category: <\/strong>any extra information that allows the grouping of data<\/li>\n\n\n\n<li>\u2026<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Add any column here that is useful for your business needs and consider values that you would need to <strong>group<\/strong> in your Timeline View.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is an example:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img1.png\" alt=\"\" class=\"wp-image-57313\"\/><\/figure>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-second-step-create-the-timeline-view-in-your-spreadsheet\"><strong>Second step: create the Timeline View in your spreadsheet<\/strong><\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">As soon as your dataset is well structured and set up, you can create the Timeline View as follows:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>In your datasheet: click <strong>Insert<\/strong><\/li>\n\n\n\n<li>Choose <strong>Timeline<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img2.png\" alt=\"\" class=\"wp-image-57323\"\/><\/figure>\n\n\n\n<ol start=\"3\" class=\"wp-block-list\">\n<li><strong>Select your data range<\/strong> (or accept the automatically suggested range) and <strong>click OK<\/strong><\/li>\n\n\n\n<li>The <strong>Timeline View is created<\/strong> automatically and a <strong>Settings<\/strong> panel is available: most settings are automatically filled in; but you are able to modify where needed<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img3.png\" alt=\"\" class=\"wp-image-57333\"\/><\/figure>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Required fields <br><\/strong>(if data is missing, the card will not be shown on the Timeline)<br>\n<ol class=\"wp-block-list\">\n<li>Date range: you can adjust where needed<\/li>\n\n\n\n<li>Start date: choose the right column<\/li>\n\n\n\n<li>End date: choose the right column<\/li>\n\n\n\n<li>Card Title: choose the column that you would like to be shown as the title of the Timeline Card<br><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li><strong>Optional fields<br><\/strong>(add extra fields for more insights and a better user experience)<br>\n<ol class=\"wp-block-list\">\n<li>Card colour\n<ol class=\"wp-block-list\">\n<li>You can choose a column from where the card colour is generated<br><strong>PRO TIP<\/strong> &#8211; use conditional formatting for status fields!<\/li>\n\n\n\n<li>You can manually choose a colour when clicking on a card<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Card details: you can choose to show data from a column as a description in your Timeline View<\/li>\n\n\n\n<li>Card group: you can choose a column to group cards (per category, per owner, per status, \u2026)<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PRO TIP<\/strong> &#8211; you can create multiple Timeline Views in your file with different grouping settings allowing you to have different views on your data<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is an example of a result:<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img4.png\" alt=\"\" class=\"wp-image-57343\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">When clicking on a card, you will see all available information:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you need to edit data from your card, just click on the <strong>Edit Data<\/strong> button: you will be redirected to those specific values in your original datasheet.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-use-the-timeline-view\">How to use the Timeline View?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">As soon as you have created the Timeline View and added the configuration to suit your business needs, you can start using the Timeline View:<br><\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" src=\"https:\/\/devoteam.info\/wp-content\/uploads\/2024\/12\/BlogPost-Sheets-Timeline-View_Img5.png\" alt=\"\" class=\"wp-image-57353\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Click on any card<\/strong> to consult the details or manually adjust the background color<br>(Note: the color picker will be disabled when using a column with conditional formatting as a base for the card color)<\/li>\n\n\n\n<li>Click the<strong> Today button<\/strong> to jump to \u2018today\u2019 on your timeline<\/li>\n\n\n\n<li>Click the <strong>Weeks button<\/strong> to switch Timeline Views<br>(Days, Weeks, Months, Quarters, Years, Multiyear)<\/li>\n\n\n\n<li>Change the <strong>density<\/strong> of the view<br>(toggle between \u2018Comfortable\u2019 or \u2018Condensed\u2019)<\/li>\n\n\n\n<li>Set an appropriate <strong>zoom<\/strong> to have a better view on the details<\/li>\n\n\n\n<li>Use the <strong>Settings button<\/strong> to modify your Timeline View configuration<\/li>\n\n\n\n<li>Click the <strong>Support button<\/strong> for the <a href=\"https:\/\/support.google.com\/docs\/answer\/12935277\">Google Help pages<\/a> about this topic<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Good to know<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Any update on the original data sheet will reflect immediately upon the Timeline View: there is no need for a refresh or a manual action.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Using different groups (categories, status fields, owner fields, \u2026) will allow you to have different perspectives on your project data and colours (automatically or manually) will add to a better understanding and user experience.<br><\/li>\n\n\n\n<li>The Timeline View range will automatically adjust when new rows are added to the original data sheet: just make sure that the required fields are filled in (Start Date, End Date, Card Title).<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-are-you-waiting-for\">What are you waiting for?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Timeline View in Google Sheets is an extremely intuitive and useful tool to create a time-based view on any kind of time-related data: only a few clicks are needed to make this Timeline available in your sheet.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Did Google Sheets suddenly become a fully featured Project Management tool? Well, that depends on your needs, right?
