About the Client
TZMO is a Polish manufacturer and supplier of hygiene and cosmetic products – Bella, Seni, Happy, Eva and medical products and services – Matopat, Tricomed, CitoNet. It operates in over 80 markets in Europe, Africa, North and South America, the Far East and Australia. It combines 56 companies located in 18 countries around the world, employing over 8,000 people. The products delivered by the group reach areas inhabited by 1/3 of the world’s population.
Challenge
TZMO struggled with the exhaustion of existing solutions in communication and cooperation. The goal of introducing Google Workspace was to unify communication and erase the barriers associated with the multitude of traditional on-premise environments.
TZMO employees are located in many countries around the world and perform complex processes. They had to enter data into the systems locally, which slowed down the production process and communication. Global deployment required seamless data exchange.
Managers from TZMO contacted Devoteam to request support in finding a reliable solution for cooperation that would not generate high costs but increase the company’s operational efficiency.
Solution
After a conversation and in-depth analysis with TZMO management, Devoteam experts assessed the company’s needs. They decided to replace Lotus Notes with Google Workspace, a toolkit that allows for smooth document flow and effective communication.
Due to the size of the TZMO enterprise, the Change Management experts took great care to prepare employees and processes for the implementation of the new solution. A Team of Leaders, appointed from TZMO employees, supported the implemented solutions, improving communication, managing emerging doubts, and streamlining team processes. Employees could also ask questions about the changes to the people implementing them via a specially created channel.
After the changes were implemented, Devoteam’s training was placed on a specially created intranet for technical support in Google Sites. The intranet included best practices for all TZMO employees.
Devoteam completed the entire implementation in 4 months, from April to August. During this time, 3,400 users transferred to Google Workspace and were trained on the new tool. In the first stage, the implementation covered Poland and the Russian Federation, then Germany, India, Romania, Austria, Slovakia, the Czech Republic, Hungary, France, Switzerland, Lithuania, Latvia, the United States, Ukraine, Belarus and Bulgaria. In a very short time, over 30 companies around the world began working as if they were side by side in one building.
Results
3,400 users were migrated to Google Workspace and trained in just four months.
85% of users reported satisfaction with Google Workspace, with over half finding their work more flexible. 21% of employees stated that change had a positive impact on the communication.
The company achieved enhanced data security and continuity through Google Workspace’s encryption and shared drives.
The biggest advantages of implementing Google Workspace were the ability to work remotely during the coronavirus pandemic and the easy availability of all necessary documents on Google Drive.
In a survey conducted after the implementation, 85% of users assessed that they were satisfied with the possibilities offered by Google Workspace and that it helped them in their work. More than half of them assessed that their work was more flexible thanks to the implementation of this solution. 21% of employees stated that change had a positive impact on the quality of communication. The use of Workspace in a simple way made distance and even language suddenly cease to be a barrier.
Thanks to the transition to Google Workspace, data flow in the enterprise takes place with the highest security standards. Whether data is transferred locally or to international servers, the connection during data transfer is encrypted in exactly the same way. This solution provides full protection against cyberattacks. After satisfactory implementation results, TZMO decided to also introduce Google Cloud Platform to address the lack of scalability or infrastructure modernisation in their current setup.
